WINTER RETREAT 2024

FEBRUARY 17-19, 2024 | OVERNIGHT RETREAT AT CAMP GARNER CREEK,
DICKSON, TN. JOIN US FOR A MULTI-CHURCH RETREAT THAT WILL HELP US TO SEEK GOD FOR THE COMING YEAR. YOU WON'T WANT TO MISS THIS. 

DAY-OF REGISTRATION PROCESS

STEP ONE: Fill out the online Check-Out Liability Form. This form helps us to have a record of who we can anticipate to pick up your Winter Retreat student. This can be filled out prior to arrival. 




STEP TWO: Arrival & Check-In! Specific parking & drop-off flow coming soon! 
STEP THREE: Check-In at Registration Table and receive Swag Bag (includes Winter Retreat Sweatshirt, Journal, & Security Wristband)

VISITOR NOTICE FORM

If you would like to visit or need to drop by Winter Retreat for any reason and you are NOT a student who is already signed up or leader/volunteer, please send us a request to visit with the link below. This will help our security team know who to expect and when. Thank you! LINK WILL GO LIVE FEBRUARY 17. 

MEDICATION RELEASE FORM

Should your student need to take medication while at Winter Retreat, please fill out this form so we can have the appropriate instructions for the administration of needed medications.

PACKING LIST & MODESTY CODE

WHAT TO PACK:

  • Bible, journal, pen

  • Water Bottle

  • Sleeping bag, pillow -OR- sheets, blanket, and pillow (twin size mattress size)

  • Warm Winter clothes, jacket/coat (compliant with Modesty Code), comfy shoes, and clothes that are okay to get dirty in (for game times), clothes to sleep in.

  • Towel, shower shoes (we recommend flip flops that can be worn while showering)

  • Basic toiletries (deodorant, toothbrush/toothpaste, shampoo/conditioner, body wash, etc.)

  • Bring any needed medications to turn into the Nurse. 

    • We ask that you have medication clearly marked with the student's name, and instructions for the nurse on times to take, etc. 

    • ALL MEDICATION (including over-the-counter drugs: Tylenol, Advil, Benadryl, etc.) MUST BE GIVEN TO THE CAMP NURSE TO BE CHECKED IN UPON ARRIVAL.

 

OPTIONAL ITEMS:

  • Alarm Clock (NOT on your phone)

  • Thermos (hot water will most likely be available at mealtimes)

  • Snacks (NUT FREE ONLY)


 

ITEMS NOT PERMITTED: 

  • Phones or Electronic Items

    • Upon arrival, any student who brought a phone or any form of electronic (iPad, Apple Watch, phone, tablet, gaming systems, etc.) will be asked to turn them in. We will have ziplock bags that we will clearly write their names on and will keep safe and locked up for the weekend. A good rule of thumb is to turn in anything with a screen. Fitbits and regular watches are allowed to stay with the student. 

    • If you would like to reach your student, your Youth Ministry will provide you with a list of Leader Contacts that you can use to contact your student. You will be informed which cabin your student will be in and what leader will be in that cabin. That leader will be a good contact for you to reach your student or even your Youth Pastor. At any time, you may also email us at youth@newsongnashville.com to reach the Retreat Administrator and they will get you in contact with the person you are looking for. 

  • Weapons

    • Guns, knives, box cutters, matches, lighters, needles, etc. 

  • Items promoting illegal, or explicit content 

    • Including magazines/comics, books, clothing items, etc. 

  • Drugs, alcohol cigarettes 

    • Including vape pens, e-cigs, Juul, flasks, etc.

Camp Garner Creek and Retreat leaders reserve the right to confiscate any items. Camp Garner Creek at Youth Pastors reserve the right to send a student home if he or she does not comply with these guidelines.

MODESTY CODE

We desire to help our students in every aspect of their lives to know Christ, be like Christ and represent Him well in the earth. One of the challenges we face in our culture is how we are told to dress and look. We want to help our students be like Christ in the ways they dress and how they communicate about themselves through fashion. At camps and retreats, and year ­round, we want to set a standard of purity and modesty. We desire to provide a pure and healthy environment without any distractions. Please read the following guidelines and dress accordingly.

 

GIRLS:

  • Regular Attire

    • ­ No spaghetti straps, strapless shirts, crop tops that show midriff, off­-the -shoulder tops, etc.

    • ­ No bra straps are to be seen at any time. This includes bralettes. 

    • ­ No midriff tops: no skin may be shown between your top & pants (Because of the styles, we understand the challenge with this. If you lift your hands or bend over and your mid­section or back is exposed, you will need to wear a longer top underneath that covers all skin.)

    •  No see-through and/or sheer tops without a shirt underneath

    • ­ No clothing promoting inappropriate secular bands, drugs, alcohol, etc. ­ 

 

GUYS:

  • Regular Attire

    • ­No clothing (or accessories like hats, beanies, backpacks, etc.) promoting inappropriate secular bands, explicit content, drugs, alcohol, etc. ­ 

    • No underwear or boxers are to be seen at any time

    • Please be mindful of the fit of certain pants and sweatpants. Nothing too tight or exposing.

FAQs

  • What is the Check-Out Liability form? Is that the same as registration? 

    • They are NOT the same things. The purpose of the Check-Out Liability form is to give the Winter Retreat Admin & Safety team necessary information specifically for the pick-up of your student/s once retreat ends. By filling out this quick form, you are able to tell us who your student/s can expect to pick them up. This reinforces safety measures and adds a confirmation in communication of whose care the student is in. We use this information to cross-check as well that your student has arrived and has been picked up. Remember, this is ALL VIRTUAL and can be done before you leave the house to drop your student off or even in the car once you have arrived. We will have leaders/volunteers stationed to help you should an issue arise. We want this to be as quick and easy as possible for you as a parent/guardian. 

  • What is registration? 

    • Registration is the first thing your student will come and do once you have arrived at camp. For the parent/guardian, if Check-Out Liability Form has been completed, you can simply drop your student off and you are not needed at the time of registration. An exception to this would be if the parent/guardian wanted to give specific instructions to the Winter Retreat Admin Team regarding medication or some other note of care for the student. You can also achieve this by emailing us at youth@newsongnashville.com and we will be sure to be in touch with you. At the time of registration, your student will walk up to the designated area, tell the volunteer their name, receive their Swag Bag (with map, schedule, security wristband, journal for the weekend and Winter Retreat Sweatshirt) and then will be helped to their assigned cabin for the weekend to get settled in before our Kick-off Session! 

  • What if I want to contact my student? 

    • If you already have the contact information for your students' youth pastor/director, you can contact them directly. They can get you in touch with your student. You can also email us at youth@newsongnashville.com or you can reach out to the Retreat Administrator to be directed to who you need to contact. 

  • Will the sessions be livestreamed? 

    • We are planning to do our best to make a Zoom link available so you can tune into sessions. Stay tuned for more information this weekend. 

  • What if my student needs to leave and come back to camp? 

    • If you have an appointment that couldn’t be changed or another conflict and your student needs to leave early or arrive late, please email us at youth@newsongnashville.com so that our Admin & Safety team can make a note of that.
